Converting Word files to PDF ones has become a necessity that cannot be missed in the world of work. Especially now that a lot of work is done virtually, it’s not uncommon for work results to be sent in PDF file format.
However, most documents that are created often use the Word format to make it easier to change. Then, why do PDF files become one of the ideal formats used by workers and students?
But before finding out why PDF files are so favored by workers and students, you must first know what PDF is. PDF or Portable Document Format is a document format that is often used to send files online. The PDF file format created by Adobe Systems in 1993 aims to display documents such as text, letters, images, and two-dimensional graphics.
Want to compare PDF with other formats? Here are some advantages so you need to convert word to PDF:
- The PDF format is highly compatible with various OS.
- The PDF format also provides a security feature that can be used to protect important documents.
- Although the PDF format cannot be changed directly in Microsoft Word, it turns out that this PDF format is very possible to change. Armed with other applications or software such as a PDF reader, you don’t have to worry if you can’t change it.
- The PDF format tends to be small in size, and in some of its applications, there are features for choosing the desired size, such as for the print, website, or email sizes. Because of these advantages, PDF is often used as a format for exchanging documents very easily.
- The PDF format is also very interactive and easy to establish connections with other pages. Like the link listed in the PDF format, it will be blue which is a sign that the link is active and can be searched through internet pages.
Wondershare is the software developer company that won my heart with the excellent filmora video editor, and they invited me to test the latest version of the PDF editor tool they created: PDFelement. I accepted the challenge, and after two weeks of using the software in my daily life, I share with you my experience in this article.
Simple and easy interface
The first thing that catches your eye when you start using PDFelement is its minimalistic interface, which only displays the desktop and the main tools on the left side. This makes all tasks extremely quick and simple to do, something that is not so common in document editors. In fact, the clean look is the same in all versions, making the transition from the mobile app to the desktop, and vice versa, smooth.
Quickly, you open a PDF sent by a member of your team, and it’s already starting to change the order pages, insert new pages, remove unnecessary pages, and most importantly; edit its contents.
Yes, with just 1 click you can make changes to the texts in the PDF you received!
Main features
Despite the clean interface and the more user-friendly price than Adobe Acrobat Pro, make no mistake: PDFelement is a robust software, full of resources, and ready for the most varied professional applications. If this tool existed when I was working as a graphic designer, my life would be a lot easier: I would spend hours opening PDFs from other departments in Illustrator, just to make small corrections.
Today, no one needs a designer for that anymore. Just open the file in PDFelement, and that’s it: change the text, change the image, add a watermark, insert new pages, and so on. You can even change the background of the document!
It does not stop there. You can even use the tool to create complete forms within a PDF, and then extract data from PDF into an Excel spreadsheet.
How?
You can run PDFelement on your device. Then access the main window and look at the bottom left. You will see “Open File”. Click it to open a file explorer window. You can now browse through your PDF forms, select the ones you need, and upload them to PDFelement.
Then open “Forms” on the toolbar and select the “Data Extraction” option. Check the “Extract data from PDF form fields” option, continue by clicking “Next”.
Now select Extraction Mode. The trick is to enable the “Extract data from PDF form fields” mode. Click “Start” which appears at the bottom right of the interface. From the output window, proceed to the next step with “Save As”. Give it the name you want. You will trigger the extraction process. Once it is extracted, the Excel file will open and can be saved.
But what if you encounter non-interactive PDF forms?
Have you ever had a PDF form whose text fields were inaccessible? It is commonly referred to as a non-interactive PDF form. By making it interactive, you can do a lot about it. You can highlight text fields, copy them, and even archive them without any hassle. PDFelement, as the best PDF form editor, can provide convenience for that. You can upload PDF form files to PDFelement. The trick is to click “Open file” which is presented in the Home Window. Then you will be able to upload the form. Once the form is uploaded, you can open the toolbar, proceed by clicking on “Forms”, “More” options, and “Get to know Forms”. A pop-up will be presented in front of you. Next, you proceed by clicking “Yes”. Once it’s clicked, the PDF will recognize the shape of the text field. Then you need to click on the “Edit” icon. You can now hover your cursor over any text field and start filling it out. Very easy!
Already edited? Next you need to save what you have changed. You can click “Command + S”. But if you want to rename the form, you can click “File > Save As”, just like when you save a Word document.
It is undoubtedly a very flexible product, which makes life a lot easier for those who do not understand anything about graphic design and diagramming software, but which also offers a lot of speed and efficiency for those who are “in the business”.
